Using Headers and Footers
in Microsoft Word
Headers and footers are used when you want the same text
or graphic to appear at the top and/or the bottom of every page of the document.
Usually headers and footers contain information about the document such as title,
student, author, date, chapter, or page number. Headers and footers do not appear
as part of the normal document text on the screen, but print out normally on
every page. To enter text or objects into a header or footer, open the View
menu and choose Header and Footer. The Header and Footer toolbar will
appear, and the body of your document will appear gray.
- INSERT PAGE NUMBER: This feature automatically
adds the correct page number on each page.
- INSERT NUMBER OF PAGES: This feature calculates
the number of pages contained in your document, and prints that on every page.
- FORMAT PAGE NUMBERS: When you click on the Format
Page Numbers button, the Page Number Format window will open. From
here, you can change the numbering format from numbers to letters or Roman
numerals. You can also choose to start your document at a particular page,
rather than starting it from page one.
- INSERT DATE: If you click on this button, the
current date is inserted into the Header or Footer. The date will update automatically
if you are working on your document over several days.
- INSERT TIME: This feature allows you to insert
the current time. This time will be automatically updated each time you open
the document.
- PAGE SETUP: When you click on the Page Setup
button, the Page Setup window will open. From here, you can set section
breaks and borders. You can also have Word include a different Header and/or
Footer for odd and even pages of the document, or change the Header/Footer
sections for the first page.
- SHOW/HIDE DOCUMENT: From here you can choose to
show or hide the document text while working with Headers and Footers. This
feature is useful if you're placing objects in your Headers and/or Footers
that overlap your document text.
- HEADER/FOOTER TOGGLE: This moves the cursor between
the document's Header and Footer.
- SHOW PREVIOUS/NEXT: This allows you to navigate
to the next or previous Header/Footer.
- INSERT AUTOTEXT: The Insert AutoText feature allows
you to enter a variety of AutoText fields.
